APS Certificate for Germany — What Indian Students Need to Know (2026 Guide)

1. What is APS?

APS stands for Akademische Prüfstelle — which translates to Academic Evaluation Centre. It is a joint institution operated by the German Embassy in India and the German Academic Exchange Service (DAAD). The APS India office is located in New Delhi, with a sub-office in Mumbai for certain applicants.

The APS serves one specific purpose: to verify and authenticate the academic credentials of applicants from India (and several other countries) who wish to study in Germany. It was introduced because Germany needed a reliable mechanism to evaluate the authenticity and comparability of Indian educational qualifications, given the diversity of the Indian university system and the high volume of Indian applicants to German universities.

The APS certificate is not a language test, a skills assessment, or a university admission process. It is purely an academic credential verification. Once you hold an APS certificate, German universities and the German Embassy accept your Indian qualifications as authentic. Without it, your German student visa application will be rejected — no exceptions for most Indian applicants.

The APS India office website is aps-india.de, which is where you will complete your entire application. Processing is done in New Delhi. All communication with APS happens online and via email; you do not need to travel to New Delhi until you are called for an interview appointment.

2. Who Needs APS?

Since 2022, the APS certificate is mandatory for all Indian students applying for a German student visa. This requirement was formally implemented after a pilot phase that began in 2019. There is no exemption category based on institution type, academic score, or financial background. Even students who have already received an admission offer from a German university cannot proceed to the visa stage without the APS certificate.

You need an APS certificate if:

  • You are an Indian citizen applying for a German student visa (Visum zu Studienzwecken)
  • You are applying for a visa to attend a full degree programme (bachelor's or master's) at a German university or Fachhochschule (university of applied sciences)
  • You are applying to attend a preparatory programme (Studienkolleg) in Germany
  • You are applying for a language course or other preparatory programme longer than 90 days in Germany

You may not need an APS certificate if:

  • You already hold an Indian degree equivalent to a German first degree (bachelor's) and are applying only for a German master's programme, and your entire undergraduate education was completed at an institution in a country other than India (rare case)
  • You are applying for a short-term student visa of less than 90 days (tourist/visitor category, not for enrolled study)

When in doubt, contact the German Embassy in New Delhi or GoWest's counselling team. The standard advice is: if you are an Indian student applying for any German student visa, assume you need the APS certificate.

3. How to Apply for APS from India — Step by Step

The APS application process is entirely online until you are called for an interview. Here is the complete process as it stands in 2026.

Step 1 — Create an account on aps-india.de
Go to aps-india.de and register for an account. You will use this account to track your application status and upload documents. The website is available in English and German.

Step 2 — Complete the online application form
Fill in your personal details, academic history (all institutions from 10th standard onwards), and upload scanned copies of your documents (detailed list in Section 4). Be accurate and consistent — any mismatch between your documents and the online form can cause delays or rejection.

Step 3 — Pay the application fee of €72
The APS application fee is €72 (approximately ₹6,480 at 2026 rates). Payment is made online via credit/debit card on the aps-india.de portal. This fee is non-refundable, including if your application is rejected or your interview date is cancelled by you.

Step 4 — Await document review
After submission, the APS team in New Delhi reviews your uploaded documents. This initial review typically takes 2–4 weeks. If documents are incomplete or unclear, they will contact you by email requesting additional materials. Respond promptly to avoid delays.

Step 5 — Receive interview invitation
Once your documents are verified, APS will send you an email with available interview slots in New Delhi (or Mumbai for certain applicants). You must book your preferred slot through the portal. Interview slots can be limited, especially during peak application seasons (October–December and March–May), so book as soon as you receive the invitation.

Step 6 — Attend the interview in New Delhi or Mumbai
Bring all original documents to the interview. The interview itself is detailed in Section 5. After the interview, you will be informed of the result typically within 2–3 weeks.

Step 7 — Receive your APS certificate
If successful, your APS certificate will be emailed to you as a PDF. You can also collect the physical copy from the APS office or request postal delivery. The certificate includes a unique verification code that German universities and the German Embassy can use to confirm authenticity. Keep both the digital and physical copy securely.

4. Documents Required

Prepare all documents carefully before starting your online application. Submit clear, high-resolution scans. Blurry or incomplete documents will slow down the process. Here is the complete standard document list for most Indian undergraduate and postgraduate applicants.

Academic Documents

  • Class 10 (SSC / Matriculation) marksheet and passing certificate
  • Class 12 (Intermediate / HSC) marksheet and passing certificate
  • All semester/year marksheets for your undergraduate degree (if completed or in progress)
  • Consolidated marksheet or transcript (if available from your university)
  • Provisional degree certificate or final degree certificate (if completed)
  • Course completion certificate or enrollment certificate from your current institution (if still studying)
  • Transfer certificates (TC) if applicable

Identity Documents

  • Valid Indian passport (all pages, including blank pages)
  • Aadhaar card or any other government-issued photo ID
  • Recent passport-size photographs (as specified in the current APS portal requirements — check at time of application)

Additional Documents (where applicable)

  • If your degree is from a private university: university's recognition/affiliation documents (UGC/AICTE recognition proof)
  • If any marksheets are in a regional language: certified English translation
  • Gap year explanation letter if there are academic gaps between your degrees
  • German language proficiency certificate (TestDaF / DSH) if applying for a German-taught programme — not required for APS itself, but useful context

Important: APS requires original documents to be brought to the interview. Photocopies are not accepted at the interview stage. Ensure your originals are in good condition. If original marksheets have been submitted to another institution or are with a university, obtain certified copies from the university's registrar before your APS interview date.

5. The APS Interview — What to Expect

The APS interview is designed to verify that your academic credentials are genuine and that you are the person who actually studied and earned the qualifications shown in your documents. It is not a test of your knowledge or intelligence — it is an authenticity and comprehension check.

Interview format

  • Duration: 30–45 minutes typically
  • Language: Conducted in English (and occasionally in German if the applicant has German language skills)
  • Location: APS India office in New Delhi (DAAD House, B 5/6, Vasant Vihar, New Delhi 110057). Some applicants from Maharashtra may be directed to the Mumbai sub-office.
  • Format: One-on-one with an APS interviewer; sometimes two interviewers are present

What the interviewer checks

  • Can you explain your academic subjects in your degree? For example, if you did a B.Tech in Computer Science, they may ask you to explain what you studied in Data Structures, Algorithms, or Database Management
  • Do your answers align with the curriculum of your claimed institution? They cross-reference with known syllabi from Indian universities
  • Do your documents appear authentic? Interviewers are trained to identify inconsistencies in document formatting, seal impressions, and printing quality
  • Is your knowledge consistent with the marks you received? Very high marks with very low knowledge of the subject can raise flags

How to prepare

  • Review the core subjects from all semesters of your undergraduate degree. Be able to explain key concepts in plain English
  • Know your own academic record: CGPA calculation method, grading scale, university name changes (if any), college affiliation details
  • Carry all original documents in an organised folder; the interviewer will physically check each one against your uploaded scans
  • Be factual and consistent. If you do not remember something precisely, say so honestly — attempting to fabricate details is the fastest way to fail
  • Do not memorise scripted answers. The interview is a conversation, not a recitation exercise

6. Processing Time and Certificate Validity

Understanding the APS timeline is critical for your Germany application planning. The process is longer than most students expect, and underestimating it is one of the most common mistakes Indian students make when applying to German universities.

Planning recommendation

If you are targeting the Winter Semester in Germany (which starts in October), you should begin your APS application by January–February of the same year. If you are targeting the Summer Semester (which starts in April), begin your APS application by September–October of the previous year. Starting your APS process after receiving a university offer letter is possible, but you risk missing your intended intake if the timeline is tight.

APS certificate validity

The APS certificate is valid for 2 years from the date of issue. If you do not use it within this period (for example, you deferred your studies or your visa was rejected for unrelated reasons), you will need to reapply for APS before your next visa application. There is no renewal process — it is a fresh application.

7. APS + Blocked Account + Visa — The Full Germany Application Sequence

Getting the APS certificate is the beginning, not the end, of your Germany application journey. Here is the full sequence every Indian student must complete to get a German student visa in hand.

Phase 1: APS Certificate (Start first — takes longest)
Begin your APS application as early as possible. This is the critical path item in your entire Germany timeline. Everything else can be done in parallel or after, but APS cannot be rushed.

Phase 2: University Application and Admission
Apply to German universities through the university's own portal or through uni-assist.de (many German universities route international applications through uni-assist). German universities have two intake deadlines:

  • Winter Semester (October start): Application deadline typically May 15 – July 15
  • Summer Semester (April start): Application deadline typically November 15 – January 15
You need your APS certificate number for the university application in most cases, though some universities accept it later before visa submission. Check each university's specific requirement.

Phase 3: Open a German Blocked Account (Sperrkonto)
A blocked account is a special bank account in Germany that holds a specific minimum amount of money as proof that you can support yourself financially during your studies. The current minimum requirement set by the German government is €11,208 per year (₹10.09L approx. at 2026 rates), which equals approximately €934/month. The money is released to you monthly once you arrive in Germany.

Blocked accounts can be opened through providers such as Deutsche Bank, Fintiba, Expatrio, or Coracle from India without needing to travel to Germany. The process takes 1–3 weeks. Fintiba and Expatrio are popular with Indian students as they offer English-language interfaces and faster processing than traditional banks.

Phase 4: German Student Visa Application
With your APS certificate, university admission letter, and blocked account confirmation in hand, you can now apply for the German Student Visa (Visum zu Studienzwecken) at the German Embassy or a German Consulate in India.

  • Embassy: New Delhi
  • Consulates: Mumbai, Chennai, Kolkata, Bangalore (Bengaluru)
Visa appointment booking is done online through the Embassy/Consulate's appointment system. Wait times for appointments have been 4–10 weeks historically; book as soon as you have your admission letter. Visa processing after the appointment typically takes 4–8 weeks. The visa fee is €75 (approx. ₹6,750).

8. Common APS Rejection Reasons and How to Avoid Them

APS rejection is uncommon for genuine applicants, but it does happen. Understanding the common causes helps you prepare a clean application and avoid unnecessary delays.

1. Document inconsistencies

Problem: Name spelling differences across documents (e.g., "Srinivas" on Aadhaar vs "Sreenivas" on degree certificate), or date of birth mismatch between passport and marksheets.
Solution: Review all documents side-by-side before submission. If there are legitimate differences due to administrative errors, obtain affidavits or correction certificates from the issuing institution before applying to APS.

2. Unable to explain academic subjects

Problem: Applicant cannot satisfactorily explain subjects listed on their marksheet. This raises doubt about whether they actually attended classes and took the exam themselves.
Solution: Study your own syllabus. Review lecture notes, textbooks, or online resources for your core subjects. You should be able to explain what Data Structures, Thermodynamics, Corporate Finance, or whichever core subject you studied means — in plain English.

3. Marks inconsistent with knowledge

Problem: Very high CGPA (e.g., 9.2/10) but inability to recall basic concepts from the same subjects. This pattern is a significant red flag.
Solution: Study your core subjects genuinely. If your marks were inflated due to internal assessments at your college, you still need to know the fundamentals.

4. Missing or incomplete original documents

Problem: Arriving at the interview without a specific marksheet or with a photocopy instead of the original.
Solution: Prepare a physical checklist and verify every document against it the night before your interview. Carry originals in a clear folder, arranged in chronological order.

5. Gap years without explanation

Problem: Unexplained gaps between Class 12 and undergraduate admission, or between completing a degree and applying to Germany, that the interviewer flags as suspicious.
Solution: Prepare a clear explanation for any gap year. Supporting documents (employment letter, training certificate, medical certificate if applicable) strengthen your explanation. Gap years are not disqualifying — unexplained gaps are.

6. Private university with poor documentation

Problem: Degrees from private institutions that are not clearly affiliated with a recognised university, or where the UGC/AICTE recognition is not documented.
Solution: Obtain an affiliation certificate from your college's registrar showing which university they are affiliated to, and a copy of the university's recognition by UGC/AICTE. Include this proactively in your application.
